Compliance Certificates

Generate official compliance certificates for clean screenings to satisfy audit requirements.

What are compliance certificates?

Compliance certificates are official PDF documents that certify a screening returned no matches against restricted party lists. These certificates serve as formal proof of due diligence for audit purposes and regulatory compliance.

Unlike standard screening reports (which show match details), certificates are specifically designed for no-match screenings and include:

  • Official TradeLasso certification seal
  • Unique certificate ID for verification
  • Entity details screened (name, address, country)
  • Lists searched (OFAC SDN, BIS, EU, UN, etc.)
  • Screening date and timestamp
  • Digital signature for authenticity

Who needs compliance certificates?

Compliance certificates are valuable for organizations that need to:

  • Satisfy audit requirements — Provide formal documentation that screenings were performed
  • Demonstrate due diligence — Show regulators you followed proper screening procedures
  • Maintain compliance records — Keep official proof of clean screenings for the required retention period (5-10 years)
  • Support internal processes — Attach certificates to customer files, shipment records, or compliance workflows

Note

Compliance certificates are only available on Advanced and Complete plans. Advanced plans include 50 certificates per month; Complete plans include unlimited certificates.

How to generate a certificate

Certificates can be generated for any screening that returned no matches:

  1. Run a screening in the Screening Tool
  2. If the screening returns no matches, you'll see a "Generate Certificate" button on the results page
  3. Click the button to generate and download your PDF certificate
  4. The certificate is automatically saved to your Search History for future access

Generating certificates for batch screenings

For batch screening jobs, you can generate certificates for all no-match entities:

  1. Go to Batch Screening and view your completed job
  2. Filter results to show only "No Match" entities
  3. Select the entities you want certificates for (or select all)
  4. Click "Generate Certificates" to create PDFs for all selected entities
  5. Download as a ZIP file containing individual certificates

Certificate contents

Each compliance certificate includes:

  • Certificate ID — Unique identifier (e.g., CERT-2026-ABC123) for verification and record-keeping
  • Entity information — Name, address, country, and any additional identifiers provided
  • Screening scope — Complete list of sanctions lists and restricted party databases searched
  • Screening result — Official statement that no matches were found
  • Date and time — Exact timestamp of when the screening was performed
  • Digital signature — Cryptographic signature to verify authenticity
  • TradeLasso certification — Official seal and certification statement

Accessing past certificates

All generated certificates are stored in your account for easy retrieval:

  • Go to Search History
  • Find the screening you need a certificate for
  • Click "View Certificate" to download the PDF again

Certificates are retained according to your plan's search history retention period (3 years for Essential, 10 years for Advanced, unlimited for Complete).

Important

Certificates can only be generated for screenings that returned no matches. If a screening found potential matches, you should generate a standard PDF compliance report instead, which documents the matches and your review decision.

Verifying certificate authenticity

Each certificate includes a unique certificate ID and digital signature. To verify a certificate's authenticity:

  1. Contact TradeLasso support with the certificate ID
  2. We'll verify the certificate was issued by TradeLasso and confirm its details
  3. For high-volume verification needs, API verification endpoints are available on Complete plans

Best practices

  • Generate immediately — Create certificates right after screening while the data is fresh
  • Store securely — Keep certificates in your compliance management system or document repository
  • Include in files — Attach certificates to customer files, shipment records, or transaction documentation
  • Track usage — Monitor your monthly certificate usage in Usage & Limits
  • Retain for audits — Keep certificates for your required retention period (typically 5-10 years for export compliance)
